1. Who we are

Poraj Services Australia is operated by Chandra as an Australian sole trader (ABN 23 394 050 629) ("we", "us"). We provide bookkeeping and business accounting support, website design, app design, custom AI agent development, AI tutorials and related digital products to customers in Australia, Papua New Guinea and elsewhere. 2. What we collect

• Account details: name, email, country, password (stored securely, never in plain text on a live system)
• Order details: products purchased, payment status and order history. Stripe processes card details; we do not store full card numbers.
• Contact form submissions: name, email, phone, project details
• Chatbot conversations: messages you send our AI assistant, including whether a conversation was handed to a human team member
• Marketing preferences: whether you've opted in to promotional or monthly emails
• Website usage data: pseudonymous visitor and session identifiers, pages viewed, referral or campaign source, resource downloads, cart activity and checkout starts. This analytics record does not contain your name, email, payment details or raw IP address.

3. How we use it

To create and manage your account, fulfil orders and deliver downloads, respond to enquiries, understand website use and sales conversions, improve our website and AI assistant, and — only if you opt in — send you product updates and promotions. Chatbot conversations may be reviewed internally (including with AI-assisted summarisation) to improve our service and inform business decisions; access is restricted to authorised staff.

4. Marketing emails

We only send promotional or monthly emails to people who've opted in. Every marketing email includes a clear unsubscribe link, in line with Australia's Spam Act 2003. You can unsubscribe at any time or email us to update your preferences.

5. Service providers and overseas processing

We use service providers to operate this website, including Cloudflare (hosting, delivery and Turnstile bot protection), Supabase (accounts and database), Stripe (payments and tax calculation), Anthropic (AI chatbot replies) and Resend (transactional and newsletter email). Turnstile may process technical information such as your IP address and browser characteristics to distinguish people from automated abuse. These providers may process information in countries outside Australia under their own privacy and security terms. Do not put sensitive personal, health, financial or confidential information into the chatbot or public contact form. If records are required for an agreed service, we will arrange an appropriate transfer method.

6. Data storage, security and retention

We use access controls, row-level database rules, encrypted network connections and restricted administrative access. New passwords are checked against a locally stored list of commonly compromised passwords; the password is not sent to another company for this check. No online service is risk-free. We retain records only for as long as reasonably needed for service delivery, security, legal, tax and dispute-resolution purposes, then delete or de-identify them where practical. We do not sell your personal information.

7. Cookies and local storage

The website uses essential browser storage for features such as your shopping cart, account session, chatbot continuity and saved preferences. It also stores a first-party pseudonymous analytics identifier for up to 13 months so we can count visitors and understand conversions without advertising cookies. Analytics events are retained for up to 25 months. We honour supported Global Privacy Control and Do Not Track settings by not starting this analytics tracker. We do not use third-party advertising cookies. If that changes, this policy and any consent controls will be updated.
